How DIN Forsyning manages over 60,000 meters with digital task management
At DIN Forsyning, paper, excel sheets and manual workflows meant wasted time, duplication and lack of overview. Today, everything runs digitally. The result? Higher quality, easier planning and a take-back rate of 99.6%.
"From paper slips to professional task management"
DIN Forsyning went from manual workflows and A3 sheets to fully digital task management with Microbizz four years ago.
The result is more structure, higher quality and an impressive 99.6% collection rate on their 60,000 meters. The system is flexible and easily customized with plugins developed in close dialogue with Microbizz - often in a matter of days. And although IT projects can seem daunting, Microbizz has proven to be a reliable partner that makes things work in practice.
Challenges with manual workflows
Before Microbizz became part of everyday life at DIN Forsyning, task management was characterized by manual solutions that made it difficult to keep track of both progress and documentation.

Challenges solved with Microbizz
Installers always have up-to-date tasks and data at their fingertips. Everything from contact information to photo documentation and quality forms is in the app, so nothing is forgotten.
Tasks are created and assigned digitally - and can be quickly customized, shared or transferred between colleagues. This makes it easy to keep everyday life running smoothly, even in the event of illness or urgent changes.
Templates and images ensure that all tasks are documented in the same way - with high quality and security. This makes it easy to comply with requirements and provide the right data for further processing.
If a technician has a suggestion for improvement, it can be taken up directly with Microbizz. New plugins can be developed in just a few days - creating even better workflows in both operations and administration.
With Microbizz, meter replacement, error registrations and follow-up are under control. As a result, DIN Forsyning has now succeeded in almost completely taking back over 60,000 meters.
Task status, progress and errors are displayed live in the system. This gives management a full overview and the ability to react quickly - and ensure progress on even the largest tasks and projects.
The workflow for meter replacement at DIN Forsyning
See a short description of the different steps in the workflow

Zones and planning:
- The meters are divided into zones and areas.
- One zone at a time is loaded into Microbizz as tasks.
- The areas are processed systematically one by one.
- The progress and status of the tasks are continuously monitored in Microbizz.

Network and deadline considerations:
-
Existing system runs on 2G/3G, which will be phased out by January 1, 2027.
-
Therefore, there is a fixed deadline for the replacement.
-
Microbizz is used to ensure an overview of progress and task pools.

Scheduling and customer contact:
-
Customers make an appointment with the operations manager or fitter.
-
Planning is done in Microbizz and synchronized with Outlook.
-
Fitters often schedule their own tasks via the Microbizz app.

Visit to the customer:
-
The installer changes meters and documents the process in the app.
-
Fills in the form, takes photos and records meter data.
-
Data is sent directly to the billing system.

If meter change is not possible:
-
The installer gives the task the status "Change not possible".
-
Fills out explanatory form and reschedules visit, e.g. 14 days later.

Error handling and automation:
-
If errors are detected (e.g. incorrect meter number or missing form), the task is sent for processing.
-
Microbizz automatically generates a new task if, for example, both water and heat meters need to be changed.
-
It all happens directly in the Microbizz app
