At Watersystems, working with Microbizz has provided an opportunity to take a thorough look at the company's daily workflows. The focus has largely been on reviewing and optimizing processes - and not least on quality assurance of all the work carried out in connection with mini wastewater treatment plants.

The company works in an everyday environment where documentation and compliance with statutory requirements play an important role, which is why it has been crucial to have a systematic and structured approach to solving tasks.

Microbizz as a common platform

Watersystems uses Microbizz for all matters related to their mini wastewater treatment plants. This applies to the sale of systems, ongoing service, when problems arise with systems and when creating call-out tasks.

The mini cleaning systems are set up as equipment in Microbizz, so the system is consistently used as the central tool for managing tasks, service and follow-up. In this way, information is gathered in one place and both technicians and administration work on the same basis.

From hanging folders to digital overview

Watersystems implemented Microbizz back in 2015-2016. The company went from a traditional suspension file system to a digital solution, which made it possible to create a much better overview of mini wastewater treatment plants, service tasks and task content.

At the same time, it became easier to work in a more structured way with planning and optimize route driving on the tasks, which resulted in a better flow in everyday life.

Automation of water samples

In 2020, another step was taken when Watersystems implemented an automated process for handling water samples.

When technicians are out on service visits, they scan a barcode that is automatically linked to a service form in Microbizz. The barcode is placed on the water sample glass and when the sample is returned, it is scanned again and placed in the robot.

The rest of the process then takes place automatically:

  • The water sample is linked to the relevant service form

  • The water sample results are processed

  • The service form with the results is automatically sent to both customers and municipalities

Municipalities have a particular interest in being able to see that the water samples meet the applicable and statutory requirements.

Fewer manual workflows

A significant part of the value for Watersystems is that many manual workflows have been reduced or eliminated. Where previously there was a need to handle and transfer data manually, today the processes are largely automated.

This means there is less hand-carried data and employees no longer have to spend time entering numbers and moving information between different systems.

Automatic service notification

Watersystems has also set up automatic service notification of customers via Microbizz. There are no phone calls, postcards or manual emails sent out.

Instead, customers are automatically notified when a service has been performed and the status is updated in the system. It's a solution that the company also uses internally in its daily work.

A consistent focus on quality assurance

Overall, working with Microbizz has given Watersystems the opportunity to take a critical look at their processes and optimize them continuously. At the same time, the company has created great value by being able to quality assure all the work that is carried out.

Precisely because data is recorded and handled automatically, there is less risk of errors and the documentation is always available - without requiring extra manual workflows.
