How Microbizz works: From work order to payment in one system

Microbizz follows a task through its entire course in one system, from the moment a work order is created to the moment the invoice is sent. Along the way, the task is planned, carried out and documented in the field, time is registered, and the work is invoiced directly based on what was actually done. Because it all happens on the same platform, the company avoids having to move information manually between several systems.

From work order to completed task

The first steps are about getting the task created, planned, and carried out correctly, before it can be documented and invoiced.

1. The work order is created

A task typically starts when a customer gets in touch, or when an agreement triggers new work. The customer's details already sit in the CRM, and the task itself is created with the customer, address, task type, and deadline in task management.

2. The task is planned

The task is assigned to an employee and a time slot in planning. If the employee needs to visit several customers on the same day, route planning can order the visits so the driving is kept to a minimum.

3. The task is carried out in the field

The employee opens the task in the mobile app, which also works without network coverage. It shows all the details of the task, along with any equipment that needs to be used or registered for the job.

From documentation to payment

The final steps make sure the completed work is documented, invoiced, and visible in the company's finances, with no manual back-and-forth in between.

4. Time and quality are documented along the way

Time tracking happens directly from the phone, as the work is carried out, instead of being noted on paper and entered later. At the same time, the employee can fill in quality forms and take photos as documentation for the customer or the authorities.

5. The task is invoiced

Once the task is marked as completed, it can be invoiced directly based on the registered time and materials used, without anyone having to re-enter the figures manually.

6. Finances are tracked in reporting

Management can follow the status across all tasks in reporting, and the registered time can be passed on to payroll, so time tracking and pay are directly connected.

Frequently asked questions about how Microbizz works

Do we have to use every step, or can we leave parts of the workflow out?

The company decides which modules to use. Many start with task management and time tracking and add more steps, such as invoicing or quality assurance, later on.

Does the mobile app work without an internet connection?

Yes. The mobile app has offline functionality, so employees can register time and documentation even without coverage on site. Data syncs as soon as the connection is back.

Can Microbizz integrate with our existing accounting system?

Yes. Through API integrations and EDI, invoice and payroll data can be passed on to other systems the company already uses.

How long does it take from a task being completed to it being invoiced?

That depends on the company's own routines, but because invoicing draws directly on the registered time and documentation, a task can be invoiced as soon as it's approved, instead of waiting for paperwork to make its way back to the office.
